Managing Bookings

Viewing, tracking, and handling your scheduled appointments.


Viewing Your Bookings

Go to Dashboard → Bookings to see all your appointments.

Booking List Shows

  • Who — Booker's name and email
  • What — Appointment type (which schedule)
  • When — Date and time
  • Status — Confirmed, cancelled, etc.

Click any booking to see full details, including:

  • All form responses
  • Location or video meeting link
  • Cancel tokens

Booking Statuses

  • Confirmed — Normal booking, will happen as scheduled
  • Pending Approval — Waiting for you to approve (if you require approval)
  • Cancelled — Booker or host cancelled
  • Denied — You declined the booking request

Requiring Approval

By default, bookings are automatically confirmed. If you want to approve bookings before they're finalized:

  1. Edit your appointment schedule
  2. Enable Require Approval
  3. Save

Now when someone books, you'll get a notification email with an approval link. Click it to:

  • Approve — Confirms the booking and creates the calendar event
  • Deny — Declines the booking with an option to email the booker

You'll see pending bookings in your Dashboard with a "Pending Approval" status.


Cancelling a Booking

As the Host

  1. Go to Dashboard → Bookings
  2. Click on the booking
  3. Click Cancel Booking
  4. Optionally add a reason

The booker receives a cancellation email.

As the Booker

Bookers can cancel using the link in their confirmation email. This automatically:

  • Removes the calendar event
  • Sends you a cancellation notification
  • Opens the time slot for other bookings

Rescheduling

As the Host

There's no built-in reschedule feature for hosts yet. The best approach:

  1. Cancel the existing booking
  2. Ask the booker to re-book via your link

As the Booker

Bookers can cancel using the link in their confirmation email. To reschedule, they would need to cancel and book a new time.


Calendar Sync

Bookings automatically create events on your connected calendar (if configured).

What the Calendar Event Includes

  • Event title (appointment type + booker name)
  • Date and time
  • Location (address or video link)
  • Booker's email
  • Notes from form responses

If you need to change the calendar event (e.g., add more details), edit it directly in your calendar — BookMe won't overwrite manual changes.


Notifications

When someone books, you receive:

  • An email notification with all booking details
  • A notification in your dashboard

When someone cancels, you also get notified by email.


No-Shows

If someone doesn't show up, you can reach out to them manually. BookMe doesn't currently have a built-in no-show tracking feature.


Exporting Data

You can export contacts (people who have booked) from each appointment schedule:

  1. Go to Dashboard → Appointment Schedules
  2. Click on a schedule
  3. Look for export options (CSV, Google Contacts, Apple Contacts)

This exports contact information for people who have booked that specific schedule.
