Setting Your Availability

Control when people can book with you.


How Availability Works

BookMe shows available time slots based on:

  • Your availability schedule (the hours you're generally open)
  • Your connected calendars (when you're already busy)
  • Any date overrides (specific dates you're unavailable)

When someone visits your booking page, they only see times that work for all three.


Creating an Availability Schedule

  1. Go to Dashboard → Availability
  2. Click Add Schedule (if you don't have one yet)
  3. Give your schedule a name (e.g., "Standard Hours")
  4. Set your timezone — this affects how times display
  5. Add time slots for each day

Setting Time Slots

For each day of the week, you can add one or more time ranges:

  • Example: Monday 9:00 AM – 12:00 PM and 1:00 PM – 5:00 PM

Click + Add Time Slot to add multiple blocks per day.

Setting Days Off

Leave a day blank if you're not available that day. For example, leave Sunday empty if you don't work weekends.


Timezones

When you create an availability schedule, you pick a timezone. This is important because:

  • Your timezone determines how times display on your booking pages
  • Your booker's timezone — BookMe automatically shows times in the booker's local timezone

So if you're in New York and someone in London books, they'll see times in their timezone (GMT), while you'll see them in yours (EST).

Changing Your Timezone

  1. Go to Dashboard → Availability
  2. Edit your availability schedule
  3. Change the timezone dropdown
  4. Save

Date Overrides

Sometimes you need to block specific dates that don't fit your regular schedule — holidays, vacations, or one-off events.

Adding an Override

  1. Go to Dashboard → Availability
  2. Click on your availability schedule
  3. Scroll to Overrides
  4. Click + Add Override
  5. Pick the date
  6. Choose:
    • Blocked — No bookings that day
    • Custom hours — Set specific times (e.g., only morning)

Common Override Examples

  • Holiday: Set the whole day as "Blocked"
  • Half-day: Set custom hours for just the morning
  • One-off meeting: Block specific hours

Managing Overrides

You can edit or delete overrides anytime. They're listed chronologically so you can see what's coming up.


Default Schedule

If you create multiple availability schedules, you can mark one as the default. New appointment schedules will automatically use the default unless you choose otherwise.


Buffer Time

You can add buffer time before and after appointments to give yourself time to prepare or travel between meetings:

  1. Go to Dashboard → Appointment Schedules
  2. Edit an appointment schedule
  3. Look for Buffer Time Before and Buffer Time After
  4. Set the duration (e.g., 15 minutes)

BookMe will automatically block that extra time around each booking so you won't be double-booked.


How Availability Affects Booking Pages

Each appointment schedule has its own availability settings. When you create a schedule, you can:

  • Use your default availability schedule
  • Create a custom schedule just for that appointment type

For example:

  • "30-Minute Call" uses standard 9-5 hours
  • "Evening Sessions" uses 6-9 PM only

Troubleshooting

Times Not Showing

  • Check your availability schedule has time slots for that day
  • Make sure the date isn't overridden as blocked
  • Verify your connected calendar doesn't have a conflicting event

Wrong Times Showing

  • Double-check your timezone setting in the availability schedule
  • Remember that bookers see times in their own timezone

Double-Booked

  • Make sure the correct calendars are selected for availability
  • Check for buffer time settings that might be eating into available slots
