How Booking Works
What your customers experience when they book an appointment.
The Booking Flow
When someone visits your booking page, here's what happens:
Step 1: Choose a Time
The visitor sees a calendar view with available time slots. They can:
- Navigate between months
- Pick a date that works
- See available times for that date
Available times come from your availability schedule, minus any busy times on your connected calendars.
Step 2: Enter Information
After picking a time, the visitor fills out a booking form. This includes:
- Name (required)
- Email (required)
- Any custom questions you added
The form is customized per appointment schedule.
Step 3: Confirm
The visitor reviews their booking details:
- Date and time (in their timezone)
- Meeting type
- Location or meeting link
- Their answers to form questions
They click Confirm Booking.
Step 4: Confirmation
After confirming, the visitor sees a confirmation screen with:
- Booking details
- A confirmation email sent to their inbox
- A cancel link
Timezones
BookMe automatically handles timezones:
- You see times in your chosen timezone (set in availability)
- Visitors see times converted to their local timezone
A visitor in London booking with someone in New York will see times in GMT, while the New York host sees them in EST.
Tip: Always confirm the timezone with bookers if it's important — BookMe shows the timezone on the booking page, but it's easy to miss.
What Happens After Booking
You Receive
- A notification in your dashboard
- An email with booking details
- A calendar event created on your connected calendar (if configured)
The Booker Receives
- A confirmation email with:
- Date, time, and timezone
- Location or video meeting link
- Their answers to form questions
- Cancel link (no reschedule option currently)
Video Meeting Links
If your appointment schedule is set to online meetings, BookMe automatically creates a meeting link:
- Google Meet — Created via your connected Google Calendar
- Microsoft Teams — Created via your connected Outlook
- Zoom — Created via your connected Zoom account
The link appears in:
- The booker's confirmation email
- The calendar event
- The booking notification you receive
If the schedule is set to "Ask Attendee," the booker will choose between online or in-person when they book.
Booking Confirmation (For You)
When someone books, you receive an email notification with:
- Booker's name and email
- Selected date and time
- Their answers to form questions
- Location or video link
- Link to view in dashboard
Troubleshooting
Someone Can't Find a Time
- Check your availability schedule covers those times
- Make sure no calendar events are blocking those slots
Wrong Time on Confirmation
- The booker likely saw the time in their timezone
- Check what timezone your availability schedule uses
- The email shows both the time and timezone
No Calendar Event Created
- Verify the calendar is connected and has permission
- Check which calendar is set as "Default Calendar for Events"
- Make sure the schedule is set to "Online" or "Ask Attendee"
